Observation opportunities 

Thank you for your interest in observing a mentor at Atrium Health Floyd (AHF) or Harbin Clinic (HC). Below is the information needed to get started. Please read all the way to the end and save for future reference.

Overview

Observation and shadowing are opportunities for students to explore different health care careers and gain hours for their medical school applications. At AHF and HC, we welcome undergraduate observers who want to learn from our experienced professionals in various fields. You must be 16 years old to shadow, 18 years old to observe in surgery.

Requirements

To observe at any AHF or HC campus:

  • Before beginning your ACEMAPP rotation application, it is your responsibility to identify a qualified person to shadow or observe and get their approval. They must be listed along with their contact information when requesting to shadow in ACEMAPP or your application will be declined.
  • Complete a background check and drug screening through Advantage which can be found under "Vendors" in ACEMAPP. Be sure to give Advantage permission to link your report to your ACEMAPP account. Associated costs are your responsibility.
  • Enroll in ACEMAPP and meet all the requirements for an ID badge.

Expectations

As an observer or shadow, you are expected to:

  • Always wear your ID badge above your waist.
  • Wear teal scrubs to indicate your status as an observer. Associated costs are your responsibility.
  • Coordinate with your mentor for the dates and times of your observation.
  • Follow the rules and policies of AHF and HC and your mentor.
  • Respect the privacy and confidentiality of the patients and staff.
  • Observe only and not perform any clinical tasks or procedures.

1. How to Apply for an ACEMAPP Membership (Skip to #2 if you already have an ACEMAPP membership)

To apply for observation or shadowing at AHF and HC, you need to:

  • Go to ACEMAPP.org and select "Register".
  • Create your ACEMAPP account, once your account is approved you will be notified by email.

2. How to Self-Apply for an OBSERVER ROTATION in ACEMAPP

  • Log in to your ACEMAPP account.
  • From your home page, click the Applications tab on the upper left.
  • Be sure to select the correct Entity; either Atrium Health Floyd or Harbin Clinic. DO NOT submit the same request to each entity.
    • If you are shadowing a Harbin doctor or PA, or at a Harbin Clinic, select Harbin Clinic.
    • If shadowing an Atrium employee at the hospital, select Atrium Health Floyd.
  • You will receive an email notification from ACEMAPP once your rotation request is approved.
  • Logon to your ACEMAPP account and complete the required modules and upload the necessary documents.

After meeting all ACEMAPP requirements, you may collect your ID badge from security.

If you are shadowing or interning with Atrium Health Floyd:

  • You will go to Atrium Health Floyd Rome Hospital to the security department to collect your ID Badge.
    SECURITY/1st Floor basement of hospital (check in with info desk in main lobby for directions)
    Mon - Thursday 8-4
    Friday 7-3
    Closed for lunch 12-1pm

If you are shadowing or interning with Harbin Clinic:

After receiving your ID badge, contact your mentor and confirm your observation or shadowing schedule.

Meeting our requirements in ACEMAPP typically takes about 14 business days, but some students may complete them faster.
